How do payments work – do you require a deposit?

Yes, PixelKraft typically requires a deposit to begin a project. Our standard payment terms for most projects are:

  • Deposit: We ask for an upfront deposit (usually 50% of the project fee) once you decide to move forward. This secures your slot in our schedule and covers the initial work (planning, design kickoff, etc.). As stated in our policy, deposits are non-refundable because they are used to allocate time and resources to your project​.
  • Progress Payments: For smaller projects, we might just do a 50/50 split – 50% deposit, and 50% due at project completion (just before launch, once you’ve approved the work). For larger projects or longer timelines, we can break payments into multiple milestones. For example, 50% deposit, 25% at a midway point (like after design approval or a beta site is delivered), and 25% at the end. We’ll outline the schedule in our proposal so it’s clear.
  • Final Payment: The remaining balance is typically due upon project completion, before the website or deliverables are handed over or launched live. Once final payment is received, we transfer ownership and credentials to you (as noted in Ownership & Deliverables). We can be flexible with final payment timing if your launch date and payment date need to align differently, but generally it’s at project finish.
  • Payment Methods: We accept various payment methods – major credit/debit cards, bank transfers, or checks. Payments are usually handled through our online invoicing system (you’ll get electronic invoices you can pay securely). We can also set up automatic billing for milestones if preferred.
  • Currency & Taxes: All our prices are in USD. If you’re outside the U.S., we still bill in USD (you might see a currency conversion on your credit card statement from your bank). Sales tax may apply for Texas-based clients as required by law for certain services – we’ll let you know if that’s the case.

We aim to be fair and straightforward in our billing. There are no surprise fees – you pay what’s agreed in the quote unless the scope changes and you approve a change order. We also won’t begin billable work without the deposit, as that protects both parties. If you ever have concerns about payment timing, talk to us – for instance, if a net-30 payment term is needed for a business, or a slightly smaller deposit and more in later payments, we can discuss adjustments. Communication is key.
